Job Summary We are seeking a highly organized and trustworthy Administrative Assistant & Office Coordinator to support the President while overseeing front desk operations and assisting with accounting processes. This position requires maximum confidentiality, executive-level professionalism, strong organizational skills, and the ability to manage multiple priorities across departments. The ideal candidate is proactive, detail-oriented, and capable of representing the President when unavailable while ensuring smooth day-to-day office and financial administrative operations. Responsibilities Executive Support – President Ensure maximum confidentiality of all information given access and visibility to Represent the President when unavailable Manage and prioritize the President’s calendar, meetings and appointments Coordinate projects Prepare presentations, PowerPoints, reports, and research as directed Book travel arrangements including flights, hotels, restaurant reservations, and appointments Develop weekly communication to staff (videos, written communications, social media updates) Send follow-up emails after meetings and calls Front Desk & Office Management Screen calls Greet and escort customers and visitors professionally Coordinate Weekly Meeting setup and breakdown Order office supplies Ship parcels via FedEx/UPS/USPS Scan and organize documents Maintain office organization and document control systems Assist with plant tour coordination (when needed) Sales Communications Support Coordinate sales call appointments and track monthly reports Assist with conventions and promotional events Plan and coordinate promotional trips Prepare promotional materials Communicate with customers and suppliers as directed Accounting Support Organize and track POD batches daily Maintain Invoice Hold List Balance invoices Consolidate Transaction Reports and QuickBooks reports Scan and convert documents to PDFs File documents both digitally and physically Qualifications High school diploma required; Associate’s or Bachelor’s degree preferred 3+ years experience in executive administration, office management, or accounting support Ability to pass pre-employment background check High level of discretion and confidentiality Strong organizational and prioritization skills Experience with Google Workspace (Docs, Sheets, Drive, Calendar) Experience With QuickBooks And Financial Documentation Preferred Strong written and verbal communication skills Professional demeanor and customer-facing presence Ability to multitask and manage executive-level priorities Benefits We are committed to providing a professional, growth-oriented workplace where employees play a meaningful role in company success.
