Fast-growing aerospace company transforming aviation operations is seeking a highly organized, proactive Executive Assistant to support the Founder/CEO and a 10-person marketing and engineering team.
This is a trusted, hands-on role for someone who thrives in fast-moving environments, anticipates needs, improves systems, and ensures nothing falls through the cracks.
Key Responsibilities
• Manage CEO calendar, inbox, meetings, travel, and task tracking (Microsoft Teams Planner).
• Prepare agendas, capture notes (Fireflies.ai), track action items, and ensure follow-through.
• Oversee HubSpot CRM: logging communications, maintaining clean data, improving workflows.
• Support marketing efforts including sales funnel follow-up, tradeshows, and press releases.
• Implement process improvements using AI tools and Microsoft 365 (Teams, SharePoint, Outlook, Excel).
• Manage expenses, invoices, file organization, system access, and administrative workflows.
• Conduct research and support executive initiatives and strategic outreach.
Requirements
• Proven experience supporting a C-level executive in a fast-paced, entrepreneurial environment.
• Strong organizational, communication, and follow-through skills.
• HubSpot expertise required.
• Advanced proficiency in Microsoft 365.
• Ability to work independently and proactively.
• Availability 8am–5pm Central Time, with flexibility as needed.
Pay Range: $1,250 to $2,250 (monthly depending on experience)
